Business Phone Systems for Law Firms

A law firm phone system should keep new-client calls out of general voicemail and ring the right practice team. Attorneys should be able to answer the firm's number from anywhere without giving out a personal cell number. PeachComm sets that up on Webex Calling, with Cisco desk phones and Cisco-certified Poly and Yealink phones, from $24 per user per month.

What phone system does a law firm need?

A law firm needs an auto attendant that separates new matters from existing clients, a group for each practice team, and mobile apps so attorneys can work away from the office on the firm's number.

  • Intake with its own path. A "new matter" menu option rings your intake team or a call queue, so a prospective client hears a hold message instead of a general voicemail box.
  • A group for each practice team. Existing clients reach their attorney's team or a paralegal through a hunt group, and calls roll to the next available person.
  • Attorneys away from the desk. With the Webex App, attorneys answer the firm's number in a courthouse hallway or a home office, and their personal cell numbers stay private.
  • A front desk that sees who's on a call. Cisco desk phones and the Webex App show a colleague's line status, so the receptionist can transfer a call to an attorney who isn't already on the phone.
  • Messages you can file. Visual voicemail and voicemail to email let staff log each message to the right matter.

How should a law firm route new-client intake calls?

Give intake its own menu option and its own group. During office hours, the "new matter" option rings the intake team, and a call queue holds callers in order when everyone is busy. Overflow rules can move a waiting caller to a second group. After hours, a schedule plays a separate greeting and sends messages to voicemail to email, so intake sees them first thing. An AI Receptionist* can also answer routine calls and send callers to the right person when your team is busy.

Can attorneys use the firm's number on their cell phones?

Yes. The Webex App runs on cell phones and on Windows and Mac computers. Calls go out with the firm's caller ID, a call can move from a desk phone to a cell phone without dropping, and clients never see an attorney's personal number.

How do you protect client calls and voicemail?

Calls are encrypted in transit between your Webex apps, phones and the Webex cloud. Admins control who can see call history, voicemail and recordings. We set up strong sign-in rules (multi-factor authentication or single sign-on) and voicemail PINs with you. Your firm stays responsible for its own ethics obligations.

How switching works

  1. We port your numbers. PeachComm handles the transfer, so clients keep calling the number on your letterhead, website and court filings.
  2. We set up your call flow. We build your greetings, intake and practice-team routing, after-hours schedules and phones with you, then test everything before go-live. We time the cutover to miss your busiest days.
  3. We train your team and stay available. Most support is remote, and an on-site technician is available upon request.

How it works

Example: New-client calls that reach a person. A firm's new-client calls were landing in a shared voicemail box. PeachComm ported the firm's numbers and built an auto attendant with a "new matter" option that rings the intake team, with a call queue behind it. Existing clients choose their practice team, and after-hours messages go to voicemail to email for intake to review each morning.

Example: An attorney between hearings. An attorney spends most mornings in court. With the Webex App on a cell phone, the attorney returns client calls on the firm's number, and clients see the firm's caller ID. The receptionist can see when the attorney is on a call and transfers the next caller to a paralegal instead.

These are typical examples.

Law firm phone system FAQs

What's the best phone system for a law firm?

The best law firm phone system separates new-client intake from existing clients, rings each practice team and lets attorneys use the firm's number on a cell phone. PeachComm sets this up on Webex Calling with Cisco desk phones and the Webex App, starting at $24 per user per month for accounts with 2 or more users.

How do we keep new-client calls out of general voicemail?

Give intake its own menu option. The auto attendant sends "new matter" callers to your intake team, and a call queue holds them in order when everyone is busy. Overflow rules can move waiting callers to a second group, and after-hours messages go to voicemail to email.

Can attorneys take firm calls on their cell phones without sharing their number?

Yes. With the Webex App on a cell phone or computer, attorneys make and take calls on the firm's number, and clients see the firm's caller ID instead of a personal number. Calls can move from a desk phone to a cell phone without dropping the call.

Can our receptionist see whether an attorney is already on a call?

Yes. Cisco desk phones and the Webex App can show a colleague's line status, so the receptionist can transfer a call to someone who isn't on the phone. For a front desk that handles a lot of calls, the Attendant Console is available as an add-on, and additional charges apply.

Does it work with our practice management software?

It runs alongside the software you use today. Set the Webex App as your computer's calling app, and with the Webex browser extension, phone number links in web-based software call out from the firm's number. Outlook click to call is included on every plan. Ask us before you plan on a deeper integration.

Can we keep our current phone numbers?

Yes. PeachComm handles number porting and coordinates the timing with you, so clients keep calling the numbers on your letterhead, website and filings. We build and test your call flow before go-live, then train your team on the new phones and the Webex App.
